Formula and inputs

Each line totals hours times rate, with hours rounded per your stated policy, commonly to the nearest quarter hour with a minimum increment. The invoice total sums all lines plus applicable tax. The policy belongs on the invoice itself: how time is rounded, what the minimum billing unit is, and whether travel time bills at a different rate.

Example scenario

Consulting week at two rates

A consultant invoices $4,455 for a week: 38.5 hours total, of which 30 hours of senior work at $120 and 8.5 hours of research support at $90, rounded to the quarter hour, each line tagged with dates and task descriptions.

• -Line item: Senior consulting, 30 hours x $120 = $3,600
• -Line item: Research support, 8.5 hours x $90 = $765
• -Rounding: nearest 0.25 hour, stated on invoice
• -Tax: applied if applicable in your jurisdiction

The two-rate split, dates, and stated rounding policy leave nothing to negotiate after the fact. If the client wants to manage cost, the conversation moves to scope and hours in advance, which is exactly where it belongs.

Common mistakes

• -Writing line descriptions for yourself instead of the person approving the invoice.
• -Rounding inconsistently or generously without a stated policy, which reads as padding when noticed.
• -Sitting on hours for weeks; time billed long after the work feels less legitimate and pays slower.

How to interpret the output

• -If clients regularly question hours, send a weekly time summary before the invoice; surprises cause disputes, not rates.
• -Track write-offs, the gap between hours worked and hours billed; a growing gap is a pricing or scoping problem disguised as generosity.
• -When a project's hourly total approaches what a fixed price would have been, consider fixed-fee billing for the next phase.
